Condition of Hire

 

Facility Bookings

The Showground is managed and maintained by VOLUNTEERS and used by many different User Groups. Therefore, the opportunity to maximise the shared use of the facility is taken whenever possible.  When booking or making enquiries, please outline your needs as there are opportunities to share the areas of the grounds (see BST Booking Page for map of facilities and areas).  Keys are available by arrangement with the Booking Member.

 

The nature of some events do not allow for shared or casual access to the grounds – particularly Bungendore Show, Country Muster and a number of equestrian events.  Camping or shared exclusion is indicated on the booking schedule on this site.  The BST apologises for any inconvenience caused, but reserves the right of exclusion as this is not a public camping ground.

 

Hirers are requested to advise actual needs for events – often Groups need to start setting up or preparing well in advance of the actual event.  Whilst every effort is made to ensure facilities are ready, some cleaning may have been programmed around the main event rather than earlier set-ups.  Please work with the BST to clarify arrangements.

 

Camping. 

Camping for casual use is restricted to the marked Camping Zone to the West of the pavilions.  See map. General campers are required to avoid the areas around the pavilions as these are under refurbishment after major events. Please note the no-camping signs and for safety and insurance, there is no casual camping in the Horse Yard area, nor the Dog Arenas.  Similarly, no horses are allowed in the camping area for safety of campers, vehicles and horses.

Casual camping is restricted to three nights only – fees as outlined in the Fee Schedule page will be collected or can be arranged through the Bookings Member.

PLEASE NOTE: If there is a BLUE colour code on the BST Booking calendar (refer to Bookings page) then the grounds are NOT AVAILABLE to Casual Campers/Visitors during that time.

 

 

Ablutions.

One set of ablutions in the main camping area are available at all times.  These are cleaned on a regular, but not daily basis so your assistance in maintaining these in a fit state for others to use is appreciated Access to additional showers and toilets are restricted to major events or specific bookings.  Hire for events requires all ablutions to be cleaned and replenished to include at least one toilet roll per cubicle.  

 

Rubbish.

Wheelie bins are provided for disposal of ALL your rubbish. Please ensure that you return the wheelie bins to the designated area near the sheep pens after your event.  Please do not put hot ash from fire drums into the bins.

 

Cleaning. 

In order to keep costs as low as practicable, some specific cleaning may be required by users immediately prior to use.  The showgrounds are managed and maintained by volunteers with all funds raised being returned into the grounds for maintenance and improvements.

 

Groups are responsible for leaving the grounds and facilities including the ablutions CLEAN and TIDY AND REPLENISHED please.

Every effort is made to maintain the grounds and facilities to a standard available for use. The BST endeavours to have the facilities in a fit state for all events.  

 

Fires.

Fires may be lit during non fire-danger periods.  All fires must be contained in the available fire-drums or user’s braziers / drums.  No fires are to be lit on the ground due to the risk of spread, danger to horses and people from remnants left and possibility of fires escaping underground.  No fires are to be lit under tree canopies.

 

Note: the BST website is updated/maintained by volunteers; and whilst every effort is made to update the “Bookings” on the website regularly, in a “Share” situation - please check/confirm prior to your Event with the Booking Member, Mark Thorek, whether other Users will be sharing the grounds.

Please note: If you hold, an additional, for example “practice” day outside of your regular bookings, you are still required to confirm with the Booking Member. Any “Shared” negotiations on use of ground space between User Groups MUST be confirmed with the Booking Member, prior to your event.

Setting up equipment prior to an event (other than a “full hire”) also needs to be confirmed with the Booking Member as that space may be already booked by another group prior to your event.

 

Full Hire Weekend (Red booking)

Starts Friday pm to Sunday pm. Eg. a competition/carnival

Inclusive ALL facilities - grounds, pavilion, canteen, yards.(camping exclusions may be imposed on other groups or individuals by arrangement)

Note: Camping with POWER and the PA system may be additional hire fees.

Share Grounds: For small groups, more than one User Group may book with the BST to share the facilities. “Shared” negotiations on use of the ground space between User Groups must be confirmed with the Booking Member, Mark Thorek prior to your event. Setting up equipment prior to your event, (other than a “full hire”) also needs to be confirmed with the Booking Member as that space may be required by another group prior to your event.  Every effort will be made to support users and we understand the need for preparation.

If your group would prefer to use a particular part of the ground space for your event, then it is your responsibility to either change your booking to a “full hire” (guaranteed space) or you confirm with the Booking Member that no other Users will be sharing that particular space.

Maintenance fee = $5 per horse to be made payable to Bungendore Pony Club (go to "User Groups" for contact details)

Includes crockery / cutlery / tables and chairs
